Procedures &
Scheduling Policy.

Private members-only luxury boat access on Kaneohe Bay, Oahu. These reservation rules and procedures are designed to provide fair access, protect the vessel, maintain scheduling organization, and ensure all members have an enjoyable and safe experience.

Membership Access Overview

  • KBAY Sandbar Club operates as a private shared-access membership program.
  • Reservations are based on membership tier, availability, and good standing status.
  • Membership access does not guarantee unlimited availability or unrestricted scheduling.
  • All reservations are subject to approval, weather conditions, maintenance schedules, and operational limitations.

Reservation Booking Windows

  • Reservations for the upcoming month open during the final week of the current month.
  • Gold Membership booking access opens every Sunday prior to standard member booking access.
  • Standard Membership booking access opens during the final week of the month after Gold priority access closes.
  • Any remaining open dates become first come, first serve beginning on the 1st day of the new month.

Pre-Booking Limitations

  • Standard Members may pre-book ONE (1) weekend reservation per month.
  • Gold Members may pre-book TWO (2) weekend reservations per month.
  • Weekday reservations are based on availability.
  • No overnight or multi-day reservations are allowed.
  • No back-to-back weekend reservations are permitted during pre-booking periods.
  • Additional weekend reservations may only be booked within 72 hours of trip date if still available.

Reservation Confirmation Policy

  • All reservations must be confirmed at least 24 hours before scheduled reservation time.
  • Failure to confirm reservation may result in automatic cancellation.
  • Cancelled or unconfirmed reservations immediately reopen for other members.
  • Members are responsible for monitoring email, text, or scheduling notifications.

Cancellation & No-Show Policy

  • Reservations cancelled within 24 hours are subject to a $100 late cancellation fee.
  • Repeated cancellations, no-shows, or abuse of the scheduling system may result in suspension of reservation privileges.
  • No-shows may be treated as completed reservation usage.
  • Late cancellations negatively impact other members and may affect future booking priority.

Waitlist Procedures

  • Members may join waitlists for unavailable reservation dates.
  • If a reservation becomes available, waitlisted members will be notified in order of waitlist priority.
  • Gold Members may receive priority waitlist access.
  • Reservation openings may be claimed on a first-response basis once notification is sent.

Member Check-In Procedures

  • Members must inspect the vessel prior to departure.
  • Pre-trip photos/videos are strongly recommended and may be required.
  • Members must verify fuel levels, safety equipment, and general vessel condition before operation.
  • Any damages or concerns must be reported before departure.

Member Check-Out Procedures

  • Boat must be returned cleaned and free of trash.
  • Boat must be returned to designated location unless delivery service was arranged.
  • Keys must be returned to lockbox.
  • Post-trip photos may be required.
  • Any damages, issues, or operational concerns must be reported immediately.

Delivery & Captain Services

  • Optional boat delivery and pickup services are available for additional fees.
  • Delivery scheduling is subject to availability.
  • Optional captains are independent contractors and not employees of KBAY Sandbar Club.
  • Members remain responsible for guests and vessel conduct even when using optional captain services.

Weather & Safety Policy

  • KBAY Sandbar Club reserves the right to cancel or reschedule reservations due to unsafe weather or ocean conditions.
  • Members must comply with all Hawaii boating laws and safety regulations.
  • Operation under the influence of alcohol or drugs is strictly prohibited.
  • Unsafe or reckless operation may result in immediate suspension or termination of membership.

Damages & Liability

  • Members are financially responsible for damages occurring during reservation period.
  • Security deposits may be used for repairs, excessive cleaning, missing equipment, smoking violations, or late fees.
  • Mechanical failures caused by negligence may be charged to member.
  • KBAY Sandbar Club reserves the right to determine repair procedures and associated costs.

Good Standing & Priority Status

  • Members maintaining good standing may retain reservation priority access.
  • Late returns, damages, repeated cancellations, no-shows, unsafe operation, or policy violations may reduce booking priority.
  • Membership privileges may be suspended or terminated for repeated violations.

Important Member Reminders

  • This is a shared-access private membership program.
  • Fair scheduling access is essential to maintaining member satisfaction.
  • Members are expected to treat the vessel respectfully and professionally.
  • Membership approval and continued access are privileges, not guaranteed rights.

Member Acknowledgement

By participating in KBAY Sandbar Club membership scheduling and reservation access, members acknowledge that they have reviewed and agreed to all reservation procedures, scheduling limitations, operational policies, and safety requirements.
